How Aid is Awarded

Financial aid awards are made by the Financial Aid Office based on the results of the Free Application for Federal Student Aid (FASFA). Completed applications received by the priority deadline will be ranked according to the level of need. Those who meet the priority deadline date will be awarded first and all others will be awarded as funds are available.

Students who are awarded financial aid will receive an award e-mail to their VCCS email account, stating the annual amount of aid being offered. Review this e-mail carefully and follow any additional directions that it may provide. Some sources of aid, such as student loans, require an additional application. If financial assistance is denied, students will receive an e-mail stating the reason and possible alternatives.

Financial aid awards will be posted on the VPCC Student Information System (SIS). You can log onto your My VPCC account by using your EmpID (student ID) and password. If you have any difficulty logging on to the SIS, contact the VPCC Help Desk.

Unless otherwise stated, awards will be made for the entire academic year. Determine if your aid will cover your charges. If not, you will need to pay any charges not covered by financial aid prior to the tuition payment deadline published on the VPCC website. Allow for adjustments if you are less than full-time. One-half of the amounts from each source will be credited to the student’s account to meet tuition and fee expenses each semester.

Last Day to Drop for a Refund

The “Last Day to Drop for a Refund” refers to the point at which you may drop any/all your courses for a full refund of your tuition payment, but also when your enrollment is locked for financial aid purposes. At this point in the semester, credit hours are locked, and financial aid for the term is adjusted to reflect/match the official number of enrolled credits. Students are encouraged to register for all courses they wish to take during the entire semester by the semester’s last day to drop for a refund, as grant eligibility is calculated based on enrollment as of that date each semester. Grant aid will not be increased for classes added after the semester’s last day to drop for a refund date.

Students who enroll after the last day to drop for a refund will receive aid, but their award will be based on their enrollment at that time. Suppose you are a late financial aid applicant and are unable to make payment arrangements with the Student Accounting Office before the payment deadline. In that case, you should review your outstanding “to-do” list items and MyVPCC message center for required actions or updates. Once all items are cleared, register for all the courses you plan to take during the semester at one time. Disbursement of Awards

Paying Tuition and Fees

Once you receive your Financial Aid Award Notice by e-mail, review it to determine if the aid awarded will be sufficient to pay your tuition and fees. Please note that financial aid awards are based on projected full-time enrollment and will be adjusted if you enroll less than full-time. Please see a financial aid advisor for assistance with determining your award(s) for less than full-time attendance.

If your aid is sufficient to cover your tuition and fees, you need to take no further action. Your aid will be applied to these charges by the College. Please note that some types of aid require additional action to apply, such as student loans.

If your aid is not sufficient to cover your tuition and fees, please be prepared to pay the remaining balance by the published tuition payment deadline. Failure to pay tuition and fees by this date will result in you being dropped from the class(es) that are not covered.

Using Remaining Aid Balances at the Bookstore

If your tuition and fees are paid in full and you have a remaining financial aid balance, you may use this balance at the College bookstore. The dates that you may use remaining financial aid each semester are published at the bookstore and on the Financial Aid website. Students who apply late for financial aid may experience a 24-hour delay from the time that aid is awarded to when it is accessible at the bookstore. Take your picture ID (driver’s license or student ID) with you to the bookstore to allow you using financial aid for your purchases.

Receiving Remaining Aid Balances

Students with remaining aid balances after tuition and fees are paid in full and after bookstore purchases have been made will receive the remaining balance in the refund option selected by the student. Prior to disbursing these remaining balances, the College must ensure that all charges are paid, adjust aid for students who are less than full-time, and disburse the aid to pay charges.
